Chatsoro is in early access and these terms are being finalised alongside the service. They will be updated as the product and the company details are confirmed.

A plain description of what Chatsoro collects, why, and what you can ask us to do about it. It is written to be read rather than to cover every eventuality, and it will grow more specific as the service settles.

What this notice covers

This notice covers the chatsoro.com website and the Chatsoro chatbot service. It explains what is collected, why, and what you can ask us to do about it.

Where Chatsoro runs on a customer’s website, that business decides what the chatbot is used for and what information it asks visitors to provide. Chatsoro provides the service on their behalf.

Information you submit through this website

When you send an enquiry through the contact form, we receive:

  • your name, email address and company or business name
  • your website address, or an indication that your website is not live yet
  • the topic you selected and any message you chose to write
  • the plan you indicated an interest in, if you selected one
  • the page the enquiry was sent from and the time it arrived

This is used to reply to you, to assess whether Chatsoro is a reasonable fit for your website, and to arrange a pilot or a plan if you want one. It is not sold, and it is not used to send unrelated marketing.

Information in chatbot conversations

Chatbot conversations are recorded so that the business operating the chatbot can see what visitors asked and what was answered. A conversation may include anything a visitor chooses to type.

Where a conversation becomes an enquiry, the chatbot may ask for a name, an email address and a company, and keep relevant context from the conversation alongside them. Those details are available to the business operating that chatbot.

Please do not type sensitive personal information into a chatbot. A chatbot is not a secure channel for medical, financial, identity or account details, and conversations may be reviewed by people working on the service.

Technical information

Like most websites and services, ordinary technical information is processed when pages and the chatbot are used. This includes request details such as an IP address, the browser and device reported by your software, and the pages or endpoints requested.

This is used to operate the service, to keep it available, and to apply rate limits and other abuse protections. Where a bot protection challenge is enabled on the contact form, the challenge provider also processes technical signals in order to decide whether a submission looks automated.

Why information is processed

  • to reply to enquiries and arrange pilots or plans
  • to provide the chatbot service to the business operating it
  • to generate answers from indexed website content
  • to keep records of conversations, captured enquiries and usage
  • to protect the service against abuse and excessive use
  • to meet obligations that apply to us

Service providers

Chatsoro relies on third-party providers to operate. In general terms these include hosting and content delivery, email delivery for enquiries sent through this website, model providers that generate chatbot answers and store the indexed content used to ground them, and optional bot protection and privacy-focused analytics where they are enabled.

Providers process information in order to provide their part of the service. A current list of providers can be requested at any time.

Security

Access to enquiry and conversation records is limited to the people who need it to run the service, and credentials for third-party services are held server side rather than in any browser.

No service can promise that information will never be exposed. Chatsoro does not claim any security certification it has not been through, and does not make guarantees about uptime or about where every provider stores data.

How long information is kept

Enquiries, conversations, captured leads and usage records are kept for as long as they are needed to run the service and to meet obligations that apply to us. They are removed or anonymised when that is no longer the case.

If you want an enquiry or a conversation removed sooner, ask and we will do it where there is no legal or operational reason to keep it.

Your requests

You can ask for a copy of the information we hold about you, ask for it to be corrected, or ask for it to be deleted. To make a request, use the contact form.

Depending on where you live, you may have specific legal rights over your personal information. We will handle a request on its merits regardless of whether a particular law applies to you.

If your details were given to a chatbot on another business’s website, that business holds those details too, and you may want to contact them directly as well.

Children

Chatsoro is a business product and is not directed at children. We do not knowingly collect information from children through this website. If you believe a child has submitted personal information, use the contact form and we will remove it.

Changes to this notice

Chatsoro is in early access and this notice will be updated as the service and the company details are confirmed. The effective date at the top of this page shows when the current wording took effect.
